Job Summary:  Certification Coordinator

Reports To:  Director of Certification

SUMMARY:  The purpose of this position is to support the efforts of the Director of Certification and the Society for Simulation in Healthcare (SSH) Certification programs by assisting with the planning, coordination, and execution of certification activities. The Certification Coordinator (CC) will work extensively with volunteers who serve on the Certification Council, committees, and sub-committees, as well as with individual applicants, candidates, and certified individuals navigating credentialing processes. The CC must be able to perform independently and function as an integral part of the core SSH team. This is a full-time (1.0 FTE) position dedicated to the Certification Department with other duties as assigned to support the broader goals of the Society for Simulation in Healthcare (SSH) and the International Meeting on Simulation in Healthcare (IMSH). 

 

ESSENTIAL JOB FUNCTIONS

 

  • Administrative & Council Support: Provides comprehensive administrative and operational support for all SSH certification programs and the governing Certification Council. Coordinates, prepares, and distributes official correspondence, agendas, meeting minutes, schedules, and reports for Council and committee meetings. Adjusts daily support to accommodate changing priority needs and rolling cycle deadlines.
     
  • Communication & Customer Service: Interacts professionally with SSH staff, Council members, volunteers, applicants, candidates, independent reviewers, and certified individuals via electronic, telephone, and written communication channels. Serves as the primary point of contact for the department, efficiently answering or redirecting incoming inquiries regarding certification requirements, eligibility, and portal navigation. Remains calm, professional, and emotionally objective when interacting with anxious, stressed, or potentially confrontational individuals.
     
  • Data & Portal Management: Accurately enters, maintains, and audits candidate certification and recertification records within the SSH Association Management System (AMS) and the vendor’s Candidate Management System (CMS). Monitors certification program activities to ensure strict compliance with internal policies, certification bylaws, and external credentialing standards. Regularly reviews program web pages and digital materials to ensure accuracy of public-facing information.
     
  • Policy Implementation & Confidentiality: Assists in the development, updating, and distribution of operational procedures and handbooks in response to new or revised policies issued by the SSH Board of Directors and/or the Certification Council. Handles highly sensitive and confidential materials, including candidate exam data, appeals documentation, and disciplinary records, with strict adherence to privacy protocols.
     
  • Program Evaluation & Marketing Support: Participates in the development and distribution of candidate evaluation tools, psychometric feedback collection, and program assessment materials. Collaborates with the Director of Communication to coordinate the distribution of marketing materials, program updates, and application cycle announcements. Makes proactive, data-driven recommendations to the Director of Certification regarding process and workflow improvements.

EDUCATION AND EXPERIENCE REQUIRED

  • A Bachelor’s degree with two years of experience or an equivalent combination of education and experience. 


PHYSICAL DEMANDS

  • Overnight travel (minimum of 4-6 trips per year).
  • Daily activities are conducted in a typical office environment.  Lifting responsibilities of up to 20 pounds


LOCATION

  • This position functions daily in a virtual environment. The incumbent is required to provide appropriate working space.

 

SKILLS

  • Must be proficient in Microsoft Office (Word, Excel, Power Point, Access) and Micro Soft Project. 
  • Must be able to work independently and function effectively in a virtual office environment with internet access and minimal supervision.

    Unlike general association roles, certification is a high-stakes legal and professional gatekeeper. A successful coordinator must understand that rules, deadlines, and documentation requirements apply identically to everyone. They must be comfortable delivering firm boundaries and policy decisions to disappointed candidates with a high degree of objective professionalism and zero ad-hoc deviations.
     
  2. Precision Data and Audit Management 
    Certification involves managing random audit cycles and tracking mandatory examination components. The coordinator needs an eagle eye for detail to flag anomalies, missing evidentiary files, or incomplete applications before they are passed along to volunteer reviewers, saving the council valuable time.
     
  3. Volunteer Organization and Collaboration
    Several certification components are completed by volunteer Subject Matter Experts (SMEs). The coordinator acts as the operational glue. Success means keeping busy volunteers organized, sending timely reminders, and tracking turnarounds to avoid pipeline bottlenecks and missed deadlines.
